How to audit your SaaS subscriptions with AI (from Gmail receipts).
Nobody knows their real monthly SaaS bill. Cards get charged in silence and Finance finds out at renewal. Here's the fastest way to get the number: an AI that scans your Gmail receipts and files a clean Notion rollup with duplicates and 12-month-untouched tools flagged.
- One-run monthly SaaS spend total, per-vendor
- Flags duplicate subscriptions across teams
- Flags tools not receipt-dated in 12+ months (likely unused)
- Reads receipts you already have — no new billing integration
Why nobody knows what their SaaS bill actually is
Every finance leader has been in the meeting where someone asks 'what are we paying for SaaS?' and the answer is a range with a shrug. The number lives across three or four surfaces — Ramp / Brex card export, a 6-month-old procurement spreadsheet, the founder's personal Amex, an occasional Stripe subscription that never got moved to the company card — and nobody has time to reconcile them.
The result is what industry analysts politely call 'SaaS bloat' and everyone else calls waste. Multiple subscriptions to the same tool from different teams. Tools nobody has used in eight months because the trial converted quietly. Auto-renewals on annual contracts nobody reviewed. Studies put mid-market SaaS waste at 25-35% of total SaaS spend — real money.
The reason this is hard to fix isn't lack of will. It's that the primary data source — receipts — arrives fragmented, in Gmail, across dozens of vendors, with no shared schema. Manually reconciling is the exact task that's 2 hours of tedious copy-paste, so it never gets done, so the number stays a range with a shrug.
An AI audit compresses that 2-hour task into 5 minutes. The workflow reads your Gmail for recurring-charge receipts, groups them by vendor, flags duplicates and long-unused subscriptions, and drops a Notion rollup you can act on. It's not exotic AI — it's just being willing to actually read all those receipts, which no human wants to do.
How it works
- 1
1. Connect Gmail
Read-only OAuth. The template only searches for known billing sender domains (Stripe, Chargebee, direct card charges).
- 2
2. Set a date range
Default is last 12 months. Change to any window when you activate.
- 3
3. Read the Notion rollup
The audit lands as a Notion database — vendor, monthly, annualized, last charged, flags. Bring it to procurement.
What the rollup looks like
Sample: 12-month scan of a founder's Gmail. Claude found 34 recurring subscriptions, grouped them, flagged 3 as 'likely unused', and filed this Notion database.
- You have >20 SaaS subscriptions across the team
- SaaS spend has been trending up quarter over quarter with no obvious cause
- You want a real number to bring to procurement or the board
- You're planning to renegotiate annuals and need a fresh picture first
- You already use Vendr, Cledara, or Sastrify for SaaS management — they do this natively
- Your SaaS is centralized on one procurement platform with clean data — the audit adds little
- Your finance team is one person who owns every subscription and knows the number from memory (they exist, rarely)
- You need SOC 2-audited spend reporting — this template is fine for review, not for auditors
Notes from the build
Only reads receipt emails
The template searches Gmail for the known billing-sender domains (Stripe, Chargebee, PayPal, direct card charges). It doesn't touch other email content. Read-only OAuth on Gmail.
Duplicate detection is fuzzy on vendor names
'Notion Team' and 'notion_team_prod' and 'Notion for Windward Inc' are matched as the same vendor. A precise-only match misses the duplicates that matter most.
'Likely unused' is a signal, not a certainty
The template flags subscriptions with no receipt-dated activity for 6+ months. This is a signal your finance person should verify — some tools genuinely charge in silence between usage.
Multi-currency handling
USD, EUR, GBP, SGD receipts all extract cleanly. FX conversion is off by default — the rollup shows native currency per line and a USD-normalized total.
SaaS Subscription Audit
Weekly Gmail scan for SaaS renewal receipts. Claude aggregates spend by vendor, flags likely duplicates and price hikes.

Will it cancel subscriptions on my behalf?
No. This is a read-and-report tool. Cancellations stay with you.
What if a charge doesn't have a Gmail receipt?
It won't show up — this template only sees what's in Gmail. Combine with a card-statement export for a full picture.
