How to turn meeting notes into action items with AI.

Every meeting leaves half a page of notes and three or four things somebody promised to do. The gap between the notes and the actual tasks is where commitments die. This is how you close that gap: paste in your notes, and Claude files each action item into Notion as a row with an owner and a due date.

The gap between meetings and follow-through

Every operator has watched the same pattern: a meeting produces four crisp action items, everyone leaves aligned, and two weeks later half of them haven't been done — not because people forgot to do them, but because they forgot who was doing them. The commitment was made, the moment passed, and the note that captured the commitment is buried in a Notion page nobody opens.

This isn't a discipline problem. It's a system problem. Meeting notes live in one place (Notion, Docs, a notes app), task systems live somewhere else (Notion databases, Linear, Asana), and the bridge between them is manual. Someone has to read the notes, spot the commitments, decide the owner, decide the due date, and file each one. That work usually falls on the meeting organizer, gets deprioritized, and quietly rots.

AI closes the gap in the exact place manual triage fails: parsing prose into structure. A language model can read 'Priya, can you get the welcome email live before the launch push?' and file 'Ship the new onboarding email — Priya — due Fri Sep 19' as a proper Notion row. What used to be 20 minutes of post-meeting admin becomes automatic; the notes-to-tasks gap closes without anyone having to remember to close it.

The reason this workflow feels magical the first time you run it — and the reason it earns its keep long-term — is that it changes what 'notes' can be. Instead of a document you write and hope to reference later, notes become the input to a system that files what needs filing. You take notes normally; the follow-through happens without you.

    The template expects a Notion database with columns for Task, Owner, Due Date, and Source. Create one if you don't have it — 60 seconds.

Good fit
  • ✓Recurring meetings that produce action items (weekly team syncs, product reviews, customer calls)
  • ✓Any meeting where the notes tend to get forgotten within a week

  • ×1:1 meetings — the discussion is the outcome; explicit action items are less common
  • ×Notes that are literally verbatim transcripts (5000+ words) — trim to relevant sections first
  • ×Meetings whose 'action items' are actually decisions, not commitments — different template, or configure this to file decisions separately
  • ×Highly confidential meetings you don't want an AI to read — this template only processes what you feed it, but that's a policy question worth flagging

Notes from the build

Why we quote the source line

Every action item includes the sentence from the notes where the commitment was made. Two reasons: reps trust the extraction when they can see the source, and disagreements about what was actually said are easier to resolve when the exact phrasing is preserved.

Filtering warm-up chatter

The first paragraph of most meeting notes is 'how was your weekend' small-talk. The prompt tells Claude to skip anything that doesn't sound like a substantive discussion or commitment. This one instruction removes 60-70% of noise.

Blockers surface separately

'Fix the pricing page mobile bug — David — due Mon Sep 22 (blocker: needs QA)' — the blocker is called out because it changes how the item should be tracked. Blockers get their own visibility in the Notion database view.

'Unspecified' owner or due date is honest

Rather than invent a due date, the template says 'unspecified' and puts the item in a Notion review queue. A quick manual pass catches the ambiguous ones without letting them silently disappear.

Frequently asked

Does it work with Fathom or Otter transcripts?+

Yes. Any plain-text transcript from any meeting-notes tool works — paste it into the run input.

What if the note doesn't specify a due date?+

Claude tags it as `unspecified` rather than guessing. You can add a fallback rule in the prompt (e.g., 'default to 5 business days out') if you want.

What about ambiguous ownership ('someone should do X')?+

Tagged as `owner: unassigned`. Files the task but flags it for a follow-up in the summary. Prevents both drop-through and fake ownership.

Does it handle multi-hour meetings well?+

Yes, though attention drift in the notes hurts extraction quality after ~90 minutes. For all-day workshops, split into segments (morning / afternoon) and run the workflow once per segment.

Can it write to Linear or Asana instead of Notion?+

Yes — swap the destination in the template config. The extraction logic is the same; the writeback endpoint changes.

What about internal-only decisions that shouldn't be action items?+

The prompt distinguishes 'decisions made' (logged as decision entries) from 'commitments to do X' (logged as action items). Both go to Notion but into different columns/databases if you configure that.
