How to write meeting follow-up emails with AI (in 30 seconds).

The follow-up email is the most valuable thing to send after a meeting and the thing you'll forget to write. This is how to make sure it happens: an AI that reads the notes you just filed and drafts the thank-you and summary while the call is still fresh.

What you get
  • ✓Drafts land in Gmail within seconds of filing notes
  • ✓Every draft includes decisions, next steps, and dates
  • ✓Nothing sends without your click
  • ✓Works with any notes source — Notion, Google Docs, plain text

Why the follow-up email doesn't get sent

The meeting ends. Someone commits to send a follow-up 'today' — recap the decisions, list the action items, include the next-steps date. Then the next meeting starts, then Slack, then lunch, then more meetings, and by 5 PM the follow-up hasn't been written. It gets pushed to tomorrow. Tomorrow becomes next week. Eventually the recipient forgets what was even discussed and the follow-up is worse than useless.

This is a friction problem, not a discipline problem. Writing a good follow-up email from memory takes 15-20 minutes: reconstruct what was decided, remember who owns each action, get the date right, write in a warm tone. Nobody has 15-20 minutes in their day for admin overhead.

The workflow closes the gap by turning your meeting notes (which you took anyway) into a Gmail draft in seconds. Claude reads the notes, drafts the thank-you plus a summary of decisions and action items, and puts it in your Drafts folder. You open, glance, send in 30 seconds. The follow-up actually gets sent — the same day, every time.

The compounding benefit is that customers, prospects, and internal teams start receiving consistent post-meeting recaps. That consistency reads as professionalism, and it also creates a paper trail. Six weeks later, when someone says 'I don't remember agreeing to X', the follow-up email you sent that afternoon settles it.

How it works

  1. 1

    1. Connect Gmail and Notion

OAuth. Read notes, create drafts. No sending, no editing your Notion pages.

  2. 2

    2. Point the template at your meeting notes page

Individual page or database. On save, the workflow reads the notes and drafts an email in Gmail.

  3. 3

    3. Send after a 5-second review

Drafts stay in Gmail Drafts. You open, glance, send. No blank-page tax.

What a follow-up draft looks like

Sample: customer sync with Aster Labs, 45 min. Notes filed to Notion at 3:47 PM. Draft landed in Gmail at 3:48.

Gmail draft → priya@aster.example Subject: Notes from today's sync Hi Priya, Good conversation this afternoon — thanks for the detailed walkthrough of what your ops team is running today. A quick recap so we're on the same page: Decisions: • Move forward with the Team plan for a 2-week pilot on the marketing-ops workflow set • Priya + Marcus are the two decision-makers on renewal after the pilot • Not blocking on SOC 2 for the pilot — we'll surface the report in the renewal conversation Action items: • [ours] Send onboarding calendar invite for Thursday 10 AM (Priya + Marcus) • [ours] Draft the Slack workflow config for their weekly digest, share by Wed • [Aster] Confirm the HubSpot admin access ahead of Thursday Next step: Thursday's session, then a check-in the following Wednesday to review pilot progress. Let me know if I missed anything above. Best, David
Good fit
  • ✓Recurring meetings that produce follow-ups (customer syncs, sales calls, partner check-ins)
  • ✓You take structured notes in Notion or Docs — the AI has real input to work with
  • ✓You want post-meeting follow-ups to actually get sent that same day
  • ✓Consistency of tone across follow-ups matters to how your team reads externally
Bad fit
  • ×1:1 internal meetings — the follow-up-by-email pattern is overkill
  • ×Meetings whose notes are 3 words and a scribble — AI needs structure to draft from
  • ×You already send hand-crafted follow-ups within an hour, every meeting — the workflow adds little
  • ×Sensitive conversations where a partial AI draft could go out with a wrong detail — turn approvals up, review each

Notes from the build

Never sends automatically

Draft lands in Gmail; you approve and send. Sending automatically is one wrong pronoun away from a bad day.

Voice-matches from your prior sends

The template can pull 5 of your recent sent follow-ups as tone anchors. Do this once during setup; it changes the register from 'AI email' to 'you'.

Handles both formal and internal tone

For internal meetings, the draft skips the 'Hi X, good talking today' opener and gets right to decisions + action items. Prompt-tuned per meeting type.

Files a copy in Notion

Optional: after you send, the workflow files a copy of the follow-up in a Notion database. Six weeks later when someone asks 'what did we decide', the answer is one search away.

Ready-made template

Meeting Follow-Up Drafter

Paste a meeting transcript (or point at a Notion page). Your AI extracts attendees, decisions, and action items, then drafts a personalised follow-up email for each attendee as a Gmail draft.

Frequently asked

Can it write in my voice?+

Yes — paste 5 past follow-up emails as tone anchors. Claude matches phrasing and length.

What about internal meetings?+

Same template. Some teams file internal follow-ups to Slack instead of Gmail — swap the destination in the workflow config.
