How to summarize Google Form responses with AI.

Connect Google Forms, paste the form's edit URL, and once a day the AI reads every new response. You get one email with the main themes, a count and a real quote for each, anything unusual, and a list of respondents who deserve a personal reply. You don't open the spreadsheet at all.

Forms are easy to send and hard to read

Every team runs forms: a feedback survey after onboarding, a sign-up form for a webinar, a "request a demo" form on the site. Collecting answers is solved. Reading them isn't. Past the first dozen, free-text responses pile up in a spreadsheet nobody opens, and the one comment that should have changed the roadmap sits in row 214.

The usual fixes don't hold up. Reading every response doesn't scale past a busy week. Word clouds and sentiment scores flatten "the setup broke twice" and "setup was a breeze" into the same neutral blob. Tagging responses by hand is the work you were trying to avoid.

A language model can do the reading. It groups answers by what they mean rather than which words they share, keeps the respondent's exact phrasing as evidence, and notices the single response that doesn't fit any group, which is often the most valuable one. Tell it what decision you're making and it weights the summary toward that.

A daily cadence is deliberate. It's frequent enough that a demo request or bug report gets a reply the same week, and slow enough that the digest is one short email rather than a notification per response.

How it works

    1. Connect Google Forms

    Pilotran asks for read-only access to your forms and their responses. It can't edit questions or delete responses.

    2. Paste the form's edit URL

    Open the form in edit mode and copy the address bar (docs.google.com/forms/d/…/edit). The share link that ends in /viewform won't work, because Google's API only accepts the edit ID.

    3. Tell it what you care about

    Optional, but it's what makes the summary useful. For example: "Flag anyone who mentions pricing", "We're deciding whether to build a mobile app", or "Pull out bug reports". The AI weights its digest toward that.

    4. Run the test, then switch it on

    The dry run summarizes a sample batch so you can check the tone and format. After that it runs daily and emails the digest to your account address. Days with no new responses send nothing.

Quotes are the evidence

Every theme carries a verbatim quote. A summary that says "users find setup hard" is easy to dismiss; one that quotes "I gave up on the Notion step twice" isn't.

The focus field changes everything

The same 18 responses summarize differently for a founder deciding on pricing than for a PM triaging bugs. One sentence of context is the cheapest way to make the digest relevant.

We refuse the share link up front

Google's API rejects the /viewform link's ID as "not found". Instead of failing every day with a cryptic error, setup rejects it immediately and says which URL to paste.

A failed summary retries tomorrow

If the AI's answer can't be read, the responses aren't marked as summarized, so tomorrow's digest includes them. Nothing is silently dropped.

Frequently asked

Doesn't Google Forms already have a summary tab?+

It charts multiple-choice answers well. Free-text answers, where the useful feedback is, just become a long scrolling list. This reads those and tells you what they add up to.

Will the AI make up numbers?+

The prompt forbids inventing numbers and asks for rough counts per theme with quotes in respondents' own words. The digest links to the full responses so you can check any claim in one click.

What kinds of forms does it work on?+

Anything with free-text answers: customer feedback, NPS follow-ups, event sign-ups, lead and demo request forms, internal pulse surveys, job applications.

How many responses can it handle a day?+

Up to 100 new responses per daily run. It's built for dozens a day, not thousands; at that volume a dedicated survey analytics tool is a better fit.

Who receives the email?+

The email address on your Pilotran account. To share it with a team, forward it or set up a mail filter that forwards it automatically.

Which plan do I need?+

Any plan, including Free. Each daily summary counts as one run, however many responses it covers. Days with no new responses don't count.
