How to log sales calls to HubSpot with AI (from raw notes).

Why HubSpot data is fiction at most companies

The gap between what sales reps discuss on calls and what shows up in HubSpot is enormous at almost every company. Reps take notes in Notion, in the Notes app, in Slack DMs, sometimes in nowhere. HubSpot custom fields for deal stage, next steps, blockers stay empty. Weekly pipeline reviews are built on data that isn't there.

The reason isn't laziness. It's that logging structured HubSpot fields after a call is 10-15 minutes of admin — reopening the CRM, finding the deal, updating fields, writing the note in the right format. Reps in a full call day can't do this after every call, so it doesn't happen, so pipeline reporting is fiction, so sales leadership is planning off vibes.

AI note parsing collapses the admin. A rep takes notes in whatever tool they prefer; the workflow reads those notes, parses them into HubSpot's structured fields (attendees, decisions, blockers, next steps, suggested stage), and files.
